How to Apply for a Leave of Absence
This guide explains where to begin, which interviews and documents are required, where to submit them, and which approvals are needed for a leave of absence.
Starting the application and obtaining the forms
For 2026 students at the Saitama Hatoyama Campus in the Faculty of Science and Technology, first tell the Student Welfare counter that you wish to take a leave of absence. Then meet with the student advisor and the academic field head. You can receive the complete set of leave-of-absence documents at the Student Welfare counter. Students receiving scholarships should state this when proceeding with the application.
Required interviews and approval
For the Faculty of Engineering at the Tokyo Senju Campus in 2025, and the Faculty of System Design and Engineering at the same campus in 2026, meet first with the student advisor and then with the department chair. Permission is obtained through the required seal on the leave-of-absence application. The same student-advisor-then-department-chair interview sequence and application-seal approval apply to the 2026 Faculty of Future Science and 2026 Faculty of Engineering at the Tokyo Senju Campus.
Required documents, submission, and dean's permission
The document and approval requirements differ by campus, faculty, and academic year:
- For the 2026 Faculty of Future Science and Faculty of System Design and Engineering at the Tokyo Senju Campus, submit the required documents to the Student Welfare counter. If the leave is for illness or injury, attach a physician's medical certificate. - For the 2025 Faculty of Engineering and 2026 Faculty of Future Science at the Tokyo Senju Campus, the application must include a physician's certificate or a statement of reasons, be jointly signed by the student and guarantor, and receive permission from the faculty dean. - For the 2026 Faculty of System Design and Engineering and 2025 Faculty of Future Science at the Tokyo Senju Campus, the application must include a medical certificate or statement of reasons, be co-signed by the guarantor, and be submitted for the dean's permission. - For the 2026 Faculty of Engineering at the Tokyo Senju Campus, submit the required documents to the Student Welfare counter.
